How it works

Corporate accommodation, from requirement to check-out

You tell us what you need. We come back with accommodation that fits it. Then we look after the stay until your people check out.

There is no portal to learn, no account to set up and nothing to sign before you see options. Most requirements start with a short form or a phone call.

Below is what happens at each stage and what we need from you at each one. If you would rather skip the reading and just send us the requirement, that works too.

A rough idea is enough to start. Dates move on projects and relocations, and it is much easier to work around that when we know from the beginning.

The five steps, in full

Every requirement goes through the same five, whether it is one person for a fortnight or a team for six months.

Tell us what you need

Send the form, ring, or email. The form takes a couple of minutes and asks what we would ask you anyway, so it usually saves a round of messages. If it is quicker to explain out loud, call and we will write it down for you. Your enquiry reaches one person, and that person owns it from there on.

What we need from you

  • Where your people need to be, and how far out is acceptable
  • When they arrive, and your best estimate of how long for
  • How many people, and whether they need to be together
  • Anything that would rule a property out, such as parking for a van

We understand the detail

We read the requirement properly and come back to you if something is missing. This is the stage that decides whether the accommodation actually works, so it is worth five minutes of your time. Nobody wants to discover in week two that there is nowhere to park the van.

What we will ask about

  • Parking, and what kind of vehicle
  • Whether people need to cook, and how much space to work
  • The commute, and what time they need to be on site
  • Budget, if you have one, so neither of us wastes time
  • Anything specific to the person staying

We present options

You get a shortlist that fits the brief, rather than everything that exists. Each option comes with the price for your actual dates, what is included and what is not, so you can compare it against whatever you are doing now. If nothing suitable is available for those dates, we tell you that instead of sending something that nearly works.

  • An honest answer if we cannot cover it

You confirm

One approval is enough. We handle the paperwork, the invoicing and any purchase order details your finance team needs. Tell us how your company likes to buy things and we will set it up that way from the start, rather than fixing it afterwards.

  • One approval from you, by email is fine
  • An invoice to the company, not to the person staying
  • Purchase order numbers where you use them
  • Payment terms agreed before the stay, not argued about after it

We look after the stay

Arrival information goes to the person staying, so they know where to go, how to get in and who to contact. For the rest of the stay you have one number for anything that comes up, and it is answered 24 hours a day. If something is not right at midnight, somebody picks up. Even where another company has to do the work, we own the communication and keep you updated.

  • Extensions and date changes, which are normal
  • Anything that goes wrong, owned by us until it is put right

Straight answers

What we promise, and what we do not

Accommodation suppliers promise a great deal. Here is the half of it we will put in writing, and the half we will not.

What you can expect

  • One person owning your requirement, from the first message to the last check-out
  • Options that genuinely fit the brief, with clear pricing for your dates
  • An honest answer when we are not the right fit for a requirement
  • Ownership of anything that goes wrong during the stay, including chasing whoever has to fix it
  • One invoice to the company, with purchase order numbers where you need them

What we will not claim

  • A fix within a set number of hours. The support line answers 24/7, but how quickly something is put right depends on the property and on whoever has to do the work
  • Empty accommodation sitting waiting for you. Availability depends on your dates, so early notice buys you choice
  • A price before we understand the requirement, because it would not be a real one
  • A booking we cannot look after properly. If that is what it would be, we will say so

After the booking

The part that happens in week three

Most accommodation problems do not happen at the booking stage. They happen once everybody has moved on to the next thing.

The boiler stops working. The programme slips and the dates move. Somebody joins the crew and needs a room. The stay was fine on day one and something has changed since.

That is the part we are actually selling. You tell us once and we take it from there, including chasing whoever has to do the work. You are not handed to somebody else, and you do not have to explain the requirement again from the beginning.

When the stay ends we close it off properly: check-out, final invoice, and a note of what worked, so the next requirement does not start from a blank page.

What tends to come up

  • Dates extending, which is normal and expected
  • Somebody joining or leaving the group
  • A repair, or a supplier who needs chasing
  • A question about the invoice or a purchase order

Common questions

Questions people ask before enquiring

How long does the whole process take?

It depends on the dates and the requirement, and we would rather not give you a number we cannot stand behind. What we can tell you is the order it happens in: we read the requirement, we come back with questions or with options, you approve, and we set the stay up. The office runs Monday to Friday, 9am to 5pm, which is when enquiries are answered. Support during a stay is separate and does not close.

Do I have to use the form?

No. The form exists because it asks the questions we would ask anyway and carries the answers straight to the right place. If you would rather talk, call 01733 964574 during business hours and we will take the details down for you.

What if my dates change after I have confirmed?

Tell us. Dates change on almost every project and relocation, and it is far easier to work around when we hear early. Extensions are normal. What is possible depends on the property and on who else has booked it, so the sooner we know, the more options there are.

What does it cost?

You get a price for the accommodation itself, for your actual dates, before you commit to anything. We will not quote before we understand the requirement, because a number that ignores group size, parking and length of stay is not much use to either of us.

Who actually owns the accommodation?

The properties are owned and operated by others. We arrange the accommodation and we take ownership of the stay, which means you deal with us rather than with a landlord or a property manager, and you tell us once when something needs sorting.

What areas do you cover?

The accommodation we arrange is in Peterborough and the surrounding area. If your requirement is somewhere else, send it anyway and we will give you a straight answer, rather than taking a booking we cannot look after properly.

Is there any obligation?

None. There is no account to set up, no portal to learn and nothing to sign before you see options. An enquiry is a conversation, not a commitment.
